Setting File Upload Limits

File upload limits enable organization admins and conference organizers to enforce submission constraints for presenters. By configuring these limits at the session level, you ensure that all presentations within a session adhere to consistent file-type, size, and quantity requirements.

Overview

Upload limitations help maintain storage efficiency, security, and standardization across your conference. You can apply three distinct constraint categories to one or more sessions:

  1. File Type Restrictions: Define which file extensions presenters may upload (e.g., .pdf, .pptx).
  2. Maximum File Size: Set the largest permitted size for any single upload (e.g., 5 GB).
  3. Maximum Number of Files: Limit the total count of files a presenter can attach to a presentation.

Note

Organization users are exempt from all upload limits and may upload any file types, sizes, or quantities.

Configure File Type Restrictions

Control which file formats presenters can submit to ensure compatibility and security.

Steps:

  1. Navigate to Conference DetailsFile Upload Limitations.
  2. Select one or more sessions.
  3. From the dropdown, select one or more allowed file extensions.
  4. Click Set Limits.

Note

If no file types are selected, all supported formats remain available by default.

Tip

Include only the file types required for your event to reduce the risk of unexpected or unsupported uploads.

Configure Maximum File Size

Prevent excessively large uploads that could strain storage or network resources.

Steps:

  1. Navigate to Conference DetailsFile Upload Limitations.
  2. Select one or more sessions.
  3. Enter the size limit in MB (e.g., 100 MB). Max allowed size is 5120 MB (5 GB).
  4. Click Set Limits.

Presenter Experience: If a presenter attempts to upload a file exceeding this size, they receive an error message indicating the size limit.

Info

By default, presenters may upload files up to 5 GB. Organization users bypass this restriction and can upload larger files if necessary.

Configure Maximum Number of Files

Limit the number of files each presenter can attach to a single presentation to maintain consistency and simplify review.

Steps:

  1. Navigate to Conference DetailsFile Upload Limitations.
  2. Select one or more sessions.
  3. Specify the maximum files allowed per presentation (keep the field empty for no limit).
  4. Click Set Limits.

Presenter Experience: When reaching the file count limit, presenters must delete an existing file before uploading a new one; attempting to exceed the limit triggers an error notification.

Best Practices & Troubleshooting

  • Review Default Limits: Before creating custom limits, confirm the Preseria's default settings (e.g., 5 GB max size, unlimited file count).
  • Communicate Limits Early: Inform presenters of upload guidelines in the welcome message and submission instructions to prevent last-minute errors.
  • Monitor Upload Activity: Use the conference details page to track which presenters have reached limits and provide support as needed.
